SidelineOps HQ, LLC ("SidelineOps HQ," "we," "us," or "our") operates sidelineopshq.com and related applications and provides team operations software for high school athletic programs (the "Service"). This Privacy Policy explains how SidelineOps HQ, LLC collects, uses, stores, and protects information when you use the Service. By using SidelineOps HQ, you agree to the practices described in this policy.

2. Information We Collect

We collect the following types of information:

Account Information

• Name and email address
• Password (stored as a secure hash — we never store plaintext passwords)
• Role within the program (coach, admin, volunteer coordinator, etc.)

Team and Program Information

• School name and athletic program details
• Sport and team level (varsity, JV, etc.)
• Schedule data including event dates, times, locations, and opponents

Contact Information

• Parent and player names, phone numbers, and email addresses
• Relationship to the team (parent, player, volunteer, etc.)
• Notification preferences and subscription status

Usage Data

• Pages visited and features used within the Service
• Browser type and device information
• IP address and general location (country/region)
• Error logs and diagnostic information

3. Student-Athlete Data

The Service may process limited information about student athletes, such as names, team assignments, roster information (including jersey numbers and grade levels where provided), schedule participation, and parent or guardian contact associations.

This information is used only to provide team management, scheduling, communication, and volunteer coordination features within SidelineOps HQ. SidelineOps HQ, LLC does not sell student-athlete data.

Authorized team and program users are responsible for ensuring they have appropriate authority to upload, enter, or manage team-related information, including student-athlete data, on behalf of their school or program.

4. How We Use Information

SidelineOps HQ, LLC uses the information we collect to:

• Provide, operate, and maintain the Service
• Send team schedule notifications and alerts that users have requested
• Send service-related emails (account verification, password resets, etc.)
• Improve and develop new features of the Service
• Respond to support requests and feedback
• Monitor for fraud, abuse, and security issues

SidelineOps HQ, LLC does not sell personal information to third parties.

5. Data Storage and Security

We take data security seriously and employ industry-standard practices to help protect your information:

• Data is stored using Supabase, which provides encrypted databases and row-level security controls
• Data is transmitted over encrypted HTTPS connections
• Passwords are hashed using industry-standard algorithms and are never stored in plaintext
• Access to production data is limited to authorized personnel of SidelineOps HQ, LLC

No internet-based service can guarantee complete security. While we work to protect information using reasonable administrative, technical, and organizational measures, we cannot guarantee that unauthorized access, disclosure, alteration, or loss will never occur. We encourage you to use a strong, unique password for your account.

6. SMS and Email Communications

SidelineOps HQ sends notifications on behalf of athletic programs to parents and contacts. Regarding these communications:

• Parents and contacts are added by team administrators and consent to notifications when joining a team's communication list
• Email notifications include unsubscribe links, and you may opt out of email at any time by using the link in any message
• SMS messages are only sent when consent has been captured — we do not send unsolicited text messages
• Users can opt out of SMS by replying STOP to any message
• Message and data rates may apply for SMS, depending on your carrier and plan

7. Third-Party Services

SidelineOps HQ, LLC uses the following third-party services to operate SidelineOps HQ. Each provider has its own privacy policy governing how it handles data:

• Supabase — database storage and authentication
• Vercel — hosting and infrastructure
• Resend — transactional email delivery
• GroupMe — optional messaging integration when enabled by a program
• Twilio — SMS delivery, if and when SMS is enabled
• Stripe — payment processing, if and when paid subscriptions are enabled
• Google Workspace — business email and administrative communications, if applicable

We share data with these providers only to the extent necessary to provide, maintain, secure, and improve the Service.

8. Data Retention

SidelineOps HQ, LLC retains information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, maintain security, and support legitimate business purposes.

Account owners or authorized program representatives may request deletion of account or program data by contacting support@sidelineopshq.com.

Some information may be retained in backups, audit logs, or other records where required for security, legal compliance, or dispute resolution, even after deletion requests are processed.

9. Children's Privacy

SidelineOps HQ is intended for use by coaches, administrators, parents, and other authorized adult users. Children under 13 are not permitted to create accounts directly.

Authorized adult users may enter limited information about student athletes for legitimate team management purposes, such as roster and schedule coordination. Student athletes do not create SidelineOps HQ accounts directly through the Service.

If we learn that a child under 13 has created an account directly or provided personal information directly to us without appropriate authorization, we will take steps to delete that information. If you believe this has occurred, please contact us at support@sidelineopshq.com.

10. Your Rights

You have the right to:

• Access your data — request a copy of the personal information we hold about you
• Correct your data — update inaccurate or incomplete information through your profile settings
• Delete your account — request deletion of your account and associated data
• Unsubscribe from notifications — opt out of email or SMS communications at any time

11. Beta, Pilot, and Early Access Use

During beta, pilot, or early access periods, SidelineOps HQ, LLC may collect feedback, usage patterns, and diagnostic information to improve the Service, identify issues, and evaluate features.

Beta users should not include sensitive student information beyond what is necessary for team operations. Features available during beta or pilot periods may change, may be less stable, and may be handled with additional logging or support review.

12. Changes to This Policy

SidelineOps HQ, LLC may update this Privacy Policy from time to time. When we make material changes, we will notify users by email or by displaying a prominent notice within the Service. We encourage you to review this policy periodically. Your continued use of SidelineOps HQ after changes are posted constitutes your acceptance of the updated policy.
